Shortlisted candidates will be contacted and will get the complete RFP.

Dear Potential CRM Implementation Partners,

Oxfam-Solidariteit/Solidarité is thrilled to announce an open call for candidates to propose their expertise and services for the implementation of a new Customer Relationship Management (CRM) system and marketing tool. As part of our commitment to enhancing customer experiences and streamlining internal operations, we are seeking proposals from qualified and experienced firms to collaborate on this critical project.

We are looking for innovative and reliable CRM implementation partners who can bring forth solutions tailored to our specific needs. The selected candidate will be responsible for guiding us through the entire process, from initial consultation to final deployment and ongoing support.

Successful candidates will meet the following criteria:

  • Have a proven track record with implementing CRM’s for NGO’s/non profit for development, environmental, cultural, educational or social good.
  • Are a Belgian agency, or a Belgian subsidiary of an international agency
  • Have staff that are trilingual NL/FR/ENG
  • Candidates are Salesforce certified and have experienced and certified staff on payroll for CRM, Marketing Automation and technical installation (minimal sub-contracting)
  • Have relevant experience with Findock
  • Full availability starting around March 2024

Key requirements and expectations for the CRM implementation include, but are not limited to:

  1. Comprehensive Assessment: Conduct a thorough workshops, analysis of our current systems, processes, and requirements to identify gaps and opportunities for improvement.
  2. Customization and Integration: Develop a CRM solution that aligns with our business goals, including customization options, integration capabilities with existing tools, and scalability for future growth.
  3. User-Friendly Interface: Create an intuitive and user-friendly interface that enables our teams to efficiently manage customer data, track interactions, and derive actionable insights.
  4. Training and Support: Provide comprehensive training sessions for our staff to ensure a smooth transition to the new CRM. Additionally, ongoing technical support and maintenance services will be required.
  5. Data Security and Compliance: Implement robust security measures to safeguard sensitive information and ensure compliance with relevant data protection regulations.

If your firm meets the listed criteria and is interested to compete for the contract, please send in a candidature outlining:

  1. the name, position, and contact details of the person completing the answers
  2. administrative details of the agency (Name of the enterprise and the responsible person address; telephone, fax and e-mail; legal status; VAT-number and/or chamber of commerce reference; Name and address of the bank, account number, IBAN and SWIFT code.)
  3. your relevant experience with NGO/non profit projects
  4. outline of the necessary personnel you have in-house to execute such a project, including descriptions of the profiles
  5. Experience with customizations and integrations (in-house)
  6. the methodologies you use for projects like this
  7. your experience with multilingual clients
  8. motivation for winning the contract
  9. The name of your DPO (shortlisted candidates will have to sign an extended GDPR contract)
